Privacy Policy — AdminMail Server

AdminMail Server ("AdminMail", "we", "our") is a mail-infrastructure firm registered in the Commonwealth of Virginia and owned by Samuel Mingo. This Privacy Policy explains what personal information we collect through adminmailserver.com and through our services, how we use it, and the rights you have over it.

1. Information we collect

We only collect information we actually need to run our business.

Contact information you give us — name, business email, phone number, company — when you fill out a form, call us or email us.
Account information — billing address, tax IDs and payment method — provided during client onboarding.
Service data — mailbox contents, message metadata and logs — held only for the purposes of operating your mail service under a written services agreement.
Website analytics — anonymised traffic data collected via first-party cookies (page, referrer, approximate region, device family). No cross-site tracking, no advertising pixels.

2. How we use it

To respond to your enquiries and provide the services you engage us for.
To send transactional communications about your account (invoices, maintenance windows, incident notifications).
To meet our legal, accounting and audit obligations.
To improve the site — for example, understanding which service pages are most useful.

We do not sell personal information. We do not share it with advertisers. We do not use it to train machine-learning models.

3. Legal basis

Where applicable law (including the California Consumer Privacy Act, the Virginia Consumer Data Protection Act and — for EU/UK residents contacting us — the GDPR and UK GDPR) requires a legal basis, we rely on: (a) your consent, (b) the performance of a contract with you, (c) our legitimate interest in running an honest small business, or (d) compliance with a legal obligation.

4. Subprocessors

We use a short list of vetted US-based subprocessors to run our business:

Data centre & hosting: Equinix (Ashburn, VA) — infrastructure hosting.
Off-site backups: Backblaze B2 (US West / US Central) — encrypted at rest.
Payment processing: Stripe, Inc. — invoicing and card handling.
Accounting: QuickBooks Online (Intuit) — bookkeeping and tax filings.

5. Retention

Prospect enquiries are retained for up to 24 months from last contact and then permanently deleted. Client mail data is retained per the retention terms in your services agreement (typically 30-day rolling backups, mailbox content held until account termination + 30 days).

6. Security

We use industry-standard controls, including TLS 1.2+ for data in transit, AES-256 encryption at rest for backups, mandatory MFA for all administrative access, and quarterly access reviews. Our written information-security policy is available under NDA on request.

7. Your rights

Depending on where you live, you may have the right to access, correct, delete or restrict processing of your personal information, to withdraw consent, to receive a portable copy, and to complain to a supervisory authority. To exercise any of these rights, email admin@adminmailserver.com. We respond within 30 days.

8. Children

Our services are not directed to children under 16 and we do not knowingly collect information from them.

9. Changes to this policy

We will post any material changes to this page and, for existing clients, notify you by email at least 30 days before they take effect. The date at the top of this page always reflects the current version.
